Using ExchangeDefender
This is the most up-to-date guide on how you can configure ExchangeDefender to make you more productive.
Email Reports
ExchangeDefender can produce up to two email reports each day to notify you of any messages that may have been quarantined as possible SPAM. The first report of the day is the Daily Report containing junk messages that have been quarantined over the past 24 hours. Optionally, you may receive an Intraday Report that includes junk messages that have been quarantined since the daily report was generated.
There is a screenshot of our sample report below, click on the image to enlarge. In the upper right corner there is a blue box reminding you that you can manage your ExchangeDefender settings in realtime through a friendly web interface. Just click on the link to access it.
Underneath is the statistical breakdown of your email flow. It shows you how many SPAM messages were processed, how many SureSPAM messages were processed, how many legitimate messages (non spam) were let through and your message total. This helps you understand just how much mail is getting through.
Finally, on the bottom there is a list of SPAM messages that were quarantined along with the email addresses, date and time at which the message was received as well as the links to Deliver Email if you wish to read it or Trust Sender to automatically deliver the email and add the user to a whitelist so it is never quarantined as SPAM again.
Note: Report above uses restricted Report Contents settings and does not print headers for email addresses that did not receive any SPAM. This is particularly helpful if you have a ton of email addresses and aliases but only receive mail at one or two addresses because this setting will keep your report from being filled with quarantines that have nothing in them.
ExchangeDefender Portal
ExchangeDefender Portal is the best way to interact with ExchangeDefender. Not only does it have more features but is more reliable and more efficient than email reports in many ways. It is a realtime, interactive and searchable way to curb the amount of junk mail that makes it to your mailbox.
Every user on the ExchangeDefender network has received a welcome (activation) email from us which allows you to securely login to the ExchangeDefender Portal at https://admin.exchangedefender.com. Your username is your email address and if you forgot your password you can click on Forgot your ID or Password? link to have it emailed to you.
Your navigation is on the top of the screen: Main, Email Addresses, Trusted Senders, Settings and Sign Out. Below it is the search panel on the left and SPAM quarantine on the right. Search panel, labeled Find Messages allows you to quickly locate messages you may be expecting and suspect are being incorrectly filtered out as SPAM. The Search SPAM panel on the right shows you a list of your email addresses along with the number of SPAM messages that are currently being quarantined. Clicking on the message count allows you to browse through the list of junk messages and potentially deliver them or whitelist their senders.
There are several buttons at the top of the SPAM Quarantine and Search Results pages: Release, Trust Sender and Review All. To the left of each quarantined message there is a checkbox. Simply check the messages you wish to act on and then choose the appropriate action. Release simply delivers the message to your inbox within a minute. Trust Sender will deliver the message as well but it will also place the sender on your personal whitelist so their future messages do not end up in the junk items again. Finally, Review All is a convenience for users that receive a lot of SPAM and are checking it very often. Instead of presenting you with a ton of mail that you may have seen before, Review All will mark the messages that are in the quarantine and you will see a separation between new SPAM and SPAM you previously reviewed. Notice that there is no Delete action, all your SPAM is automatically purged every 7 days.
Email Addresses
Email Addresses section allows you to manage the ExchangeDefender behavior related to your individual email addresses. Under Manage dropdown for each message you have an option to Deliver, Delete or Quarantine suspected junk messages. This setting can be applied to the individual categories in SPAM and SureSPAM. While we recommend you set the junk mail actions to Quarantine, some users opt to set Delete for SureSPAM due to its high confidence in SPAM detection. Finally, you can also use this screen to protect additional email addresses that belong to you. Keep in mind that you must actually be able to receive email at those addresses as that is a security check.
Trusted Senders
Trusted Senders, or whitelists, are email addresses or domain names that are never scanned for junk mail content. You can apply the rule to a single address, domain name, or have it automatically apply to all your email addresses. You can also remove users from your trusted lists.
LiveArchive
LiveArchive, if enabled by your domain administrator, allows you to read, reply, foward, compose and search the last seven (7) days of your email and correspond in realtime while your server is down with your own email address. Just take your laptop to the local free wifi hotspot and continue working! LiveArchive can be accessed at https://archive.exchangedefender.com using your ExchangeDefender-protected email address and password, if it was previously enabled. If ExchangeDefender LiveArchive was just enabled for you please keep in mind that it can take over an hour for mail to start spooling and you will only have access to messages that have been delivered after LiveArchive was enabled for you. The same interval applies to any changes to the password/address, so if you can see yourself needing LiveArchive to communicate when your server goes down make sure your domain admin enables it for you now before you actually have to rely on it - it can take just a few moments and you don't need to worry about managing it because ExchangeDefender LiveArchive will automatically delete messages older than seven days.
Settings
Settings section is pretty self-explanatory but is important because it can save you a lot of time and make you more productive with ExchangeDefender. First, you have an option to set your Daily SPAM Reports option so you can be interrupted as often or as little as you want. If timely access to SPAM is critical we recommend you use the ExchangeDefender portal, but every can use a reminder every now and then. Report Schedule sets the time at which we start generating your reports. Finally, Report Contents help us eliminate extra email addresses from reports if they have not received any junk mail during that reporting interval.
There are also settings to control paging, which is the number of items listed on a single page. If you are on a slow computer you may want to limit this to a few items at a time so your web browser doesn't crash. You can also set your time zone so we can present all times relative to where you are. Lastly, you can change your password! We recommend you do this often, especially if you are relying on ExchangeDefender LiveArchive.
